- Send as: Excel (.xlsx), CSV, PDF, Excel 97-2003 (.xls), OpenDocument (.ods), JSON, or In the email only.
- Send to: pick people, or type an email address and press Enter.
- Add a subject and message if you like, then click Save schedule.
Click Send me a test now to get a copy straight away and check how it looks.
What arrives
- The email shows the report’s table (the first 25 rows) and a link to open the full report in Open Leads.
- Unless you chose In the email only, the report is attached in the format you picked, with all its rows.
- Without a subject of your own, the subject is the report name and its dates, for example Idle leads by salesperson - Oct 1 - Oct 31, 2026.
- The report is counted fresh when it is sent, using its date range at that moment, so a weekly Last 7 days report always covers the latest week.
- Emails go out within about five minutes of the time you set.
Whose access it uses
A scheduled report is always built with your access, the person who set it up, and everyone on the list receives that same report. That is what lets a manager send a team summary to someone who could not see all of those leads themselves, so add only people who should see those numbers.
Who it can go to
- People with an active role on an account the report can cover.
- Email addresses outside Open Leads can be added by account admins only.
- People whose user is later disabled stop receiving it.
Managing schedules
- A report can have several schedules, for example a daily one for you and a monthly one for the owner.
- My schedules, at the top of the Reporting page, lists every schedule you have set up, with the format, the recipients and when it is next sent. Edit or delete them there.
- If the person who set up a schedule loses access to the account, or the report is deleted, the schedule stops and shows as paused.
