Reporting Guide Breakdown Guide
A breakdown decides how the rows of a report are grouped. Break leads down by Lead source and you get one row per source; break them down by Month and you get one row per month. A report can have no breakdown (just the totals), one breakdown, or two.

A breakdown decides how the rows of a report are grouped. Break leads down by Lead source and you get one row per source; break them down by Month and you get one row per month. A report can have no breakdown (just the totals), one breakdown, or two.
Two breakdowns: each year is split by status.
One breakdown or two
With two breakdowns, each row of the first is split by the second. Month then Lead source gives one row for every month and source pair. The chart draws the second breakdown as stacked or side-by-side series, and the table lists each pair on its own row.
Put the breakdown you want to compare along the bottom of the chart first. For a trend, that is usually a date; for a comparison of people or sources, it is the person or source.
Every breakdown
| Group | Breakdown | What a row is |
|---|---|---|
| Date | Day, Week, Month, Quarter, Year | A calendar period in your time zone. Weeks start on Sunday. |
| Date | Day of week, Hour of day | Sunday to Saturday, or 12 am to 11 pm, added up across the whole range. Good for spotting patterns. |
| People | User | The person who did it: who logged the call, completed the task or signed in. Activity done automatically shows as (System). |
| People | Assigned user | The people a lead is assigned to. A lead assigned to two people appears in both rows. |
| Acquisition | Lead source | The lead’s source. Leads with no source, or added from inside Open Leads, show as Added manually. |
| Acquisition | Form | The web form the lead came in through. |
| Acquisition | Email source | For leads that came in by email, where the email came from. |
| Acquisition | Channel, UTM source, UTM medium, UTM campaign, Referring site (New) | Where a form lead came from on the web, recorded when the form was sent. See the article on forms, campaigns and marketing channels. |
| Acquisition | Device | Desktop, mobile or tablet. |
| Pipeline | Status | The lead’s current status, in your pipeline order. |
| Pipeline | Open / Won / Lost | Whether the lead’s status is a won status, a lost status, or neither. |
| Pipeline | Opportunity, Stage (%) | The lead’s opportunity (product line), and its stage percentage. |
| Lead | Type | The lead’s types. A lead with two types appears in both rows. |
| Lead | Email domain, Has email, Has phone, Active / Archived | Details of the lead record itself. |
| Location | State, City, Zip / postal code, Country | From the lead’s address. |
| Custom fields | Any of your custom lead fields | The value in that field. |
| Organization | Account, Group | Shown when you report on more than one account. |
| Follow-up (New) | Last touched, Last touch was | How long ago the lead was last touched (in age bands), and what kind of touch it was. |
| Activity | Activity type, Direction, Changed to status | For activity reports: the kind of activity, whether it was outbound or inbound, and for status changes the status the lead was moved to. |
| Pipeline movement | What changed, Changed from status, Changed to status | For pipeline movement reports: whether the row is a new lead or a status change, and the old and new status. |
| Tasks | Task type, Priority, Task status | Task status is Completed, Overdue (past its due time and not done) or Open. |
| Speed to lead | First contact by, Response time | How the lead was first contacted, and how long it took, in bands. |
| Email campaigns | Campaign, Sent by, Campaign status | One row per campaign, per sender, or per campaign status. |
| Team usage | Section of Open Leads | The part of Open Leads a page belongs to, such as leads, tasks or settings. |
Each data source only offers the breakdowns that make sense for it, so you will not see every one of these at once.
Leads that count in more than one row
Assigned user and Type can have several values per lead. A lead assigned to two people is counted once for each of them, so the rows can add up to more than the total. The total row always counts each lead once.
Empty values
Records with nothing in the field get their own row, such as (No status) or (none), so nothing silently drops out of the totals. Filter them out if you do not want them.
