Manage Types
How to manage your lead types: add a type and choose its color, edit and rename types, drag to reorder or sort the whole list in one click, read the usage count and bar on each type, search and filter the list, find types that are not in use, and delete a type safely.
On this page
Types are the colored labels you put on leads to say what kind of lead each one is: where it came from (Website Lead, Walk In, Trade Show) or how interested the person is (Hot Lead). The Manage Types page is where you create those labels, give each one a color, put them in order, and remove the ones you no longer need. The page was rebuilt with a usage bar on every type, search and filters, one-click sorting, a new color picker with a live preview, and a guided tour.
To get here, go to Settings and click Types.
The page uses your account’s own names. If your account calls Types or Leads something else, you will see those names on the tab, the buttons and the column headings instead.
What types are for
- A lead can have one type or several.
- Types can be added to a lead or taken off it by hand, or automatically by a workflow.
- Types can be used as a filter on the lead list, so you can pull up every lead of one kind.
- You can create as many types as you need, and rename, recolor, reorder or delete them at any time.
The page at a glance
From top to bottom, the page has three parts:
- The toolbar – add a type, or open Help.
- Search, filters and Sort – find a type by name, show only the ones that are in use or not in use, or reorder the whole list in one click.
- The list – one row per type, with its color, its name, and how many leads it is on.
The toolbar
| Button | What it does |
|---|---|
| Account Settings | Goes back to the Settings page. |
| Add Type | Opens the window for creating a new type. |
| Help | Starts the tour of the page, or opens this guide. |
Reading the list
Each row is one type.
| Part of the row | What it shows |
|---|---|
| Handle | Six dots at the start of the row. Drag it to move the type up or down. |
| Color | The colored square is the color this type is shown in. |
| Name | The name of the type. Click it to edit the type. |
| Not in use | A small grey label next to the name when the type is not on any leads. |
| Leads | The number of leads the type is assigned to, a bar in the type’s own color, and a percentage. These are explained below. |
| Actions | Two buttons: the pencil edits the type, and the bin deletes it. |
The number, the bar and the percentage
- The number is how many leads have this type.
- The bar compares this type with your most used type. The most used type fills the bar, and every other type is drawn in proportion to it, so you can see at a glance which types carry most of your leads.
- The percentage is this type’s share of all the type assignments in the account. <1% means less than one in a hundred.
- The line next to the filters, such as Assigned 1,241 times in all, is the total for every type added together. A lead with two types is counted twice, so this total can be higher than your number of leads.
Adding a type
- Click Add Type in the toolbar.
- Type a name. Each name can be used only once, and capitals do not count: “Hot Lead” and “hot lead” are the same name.
- Pick a color. A new type starts on a color that none of your other types is using, so you can simply keep it.
- Check the Preview at the bottom of the window. It shows the type the way it will look.
- Click Add type. The new row is highlighted in green for a moment and a confirmation appears at the top right of the page.
Save and add another saves the type and keeps the window open, cleared and ready for the next one. It is the quickest way to enter a whole list of types.
Choosing a color
- The swatches – twenty ready-made colors. Click one to choose it. A check mark shows which one is selected.
- The color box (the colored square under the swatches) – opens your browser’s color chooser, so you can pick any color at all.
- The code box – type or paste a six-character color code, such as FFCC66, when you need to match a color exactly.
- The preview – shows the color as a square next to the name, and as a solid label. The text on the label switches between light and dark so it stays readable on any color.
Tip: give types that belong together similar colors, and keep a strong color such as red for the types you want to stand out.
Editing a type
Click the type’s name, or the pencil at the end of its row. Change the name, the color or both, then click Save changes.
Leads that already have the type keep it. They simply show the new name and color from then on, so renaming a type is safe.
Changing the order
Drag one type
Hold the handle (the six dots) at the start of a row and drag the row up or down. A dashed outline shows where it will land. Let go and the new order is saved straight away, and Order saved appears at the top right.
Sort the whole list
The Sort button reorders every type in one click and saves the result.
| Choice | What it does |
|---|---|
| Name, A to Z | Puts the types in alphabetical order. |
| Name, Z to A | Puts the types in reverse alphabetical order. |
| Most used first | Puts the type with the most leads at the top and the unused ones at the bottom. |
After sorting you can still drag individual types wherever you like. The order is saved for the whole account, so everyone sees the same order.
The handles disappear while you are searching or filtering, because reordering needs the whole list on screen. Clear the search box and click All to get them back.
Finding a type
Search
Type any part of a name in the search box. The list narrows as you type. The × button next to the box clears the search.
Filters
| Filter | What it shows |
|---|---|
| All | Every type. |
| In use | Only the types that are on at least one lead. |
| Not in use | Only the types that are on no leads. |
The number on each button is how many types it holds. While a search or filter is on, the line next to the buttons tells you how many types you are looking at, for example Showing 7 of 13.
Not in use is the quickest way to tidy up: it lists the types nobody has assigned, which are the usual candidates for deleting.
Deleting a type
- Click the bin at the end of the type’s row.
- Read the message. It tells you how many leads the type is assigned to.
- Click Delete to go ahead, or Cancel to keep the type.
- If the type is on leads, it is removed from those leads. The leads themselves are not deleted.
- Deleting cannot be undone. If you add a type with the same name later, it starts empty and has to be assigned to leads again.
- If you only want different wording, edit the name instead of deleting. Every lead keeps the type.
- Before deleting a type that is in use, check whether a workflow still adds it to leads.
Who can do what
| Your permission | What you can do on this page |
|---|---|
| Manage types | Everything: add, edit, reorder, sort and delete. |
| Add types only | Add new types. You cannot edit, reorder or delete them, and a notice at the top of the page says so. |
| Neither | Look at the list only. A notice at the top of the page says so. |
If you need a permission you do not have, ask your account administrator.
Help and the guided tour
The Help button at the right of the toolbar opens a small menu.
- Take the tour walks you through the page in a few short steps, pointing at each part in turn. Use Next and Back to move through it, or the × to leave at any time.
- Open the help guide opens this article.
The first time you visit, a note above the Help button tells you the tour is there. It stays until you click Don’t show again. Taking the tour or closing the note with the × does not remove it for good.
On a phone or tablet
On a narrow screen each type becomes a small block, with the name on top and the number, bar and buttons under it. Everything on the page works the same way.
Tips
- Keep the list short. A handful of clear types is easier for your team to use than dozens of near-duplicates.
- Use Most used first to bring the types your team relies on to the top.
- Look at Not in use every so often and delete what nobody needs.
- Rename a type instead of deleting it and making a new one. The leads keep their type.
- Give each type its own color, so types are easy to tell apart at a glance.
Questions and answers
I can’t drag the rows.
The handles only show when the whole list is on screen. Clear the search box and click All. You also need the permission to manage types, and there must be more than one type.
It says “That name is already in use.”
Another type already has that name. Capitals do not count, so “Walk In” and “walk in” are the same. Choose a different name, or edit the existing type.
Why is the total higher than my number of leads?
A lead can have more than one type, and it is counted once for each type it has.
I don’t see Add Type, the pencil or the bin.
Those depend on your permissions. See Who can do what above.
If I change a color, do leads that already have the type change too?
Yes. The type shows its new color everywhere from then on.
