System Settings: Terminology, Logging and Forms
Rename Leads, Tasks, Workflows and the other main sections to the words your business uses, require comments when logging calls, texts and visits, and turn on SSL for hosted forms.
On this page
System Settings is where an administrator sets things that apply to the whole account. It has three tabs:
- Terminology – call the main sections of Open Leads what your business calls them. For example, Leads can become Clients, Tasks can become Jobs and Workflows can become Automations.
- Logging – require a comment when someone logs a call, an SMS text or a visit.
- Forms – turn SSL (https) on or off for your hosted forms. Only the account owner sees this tab.
To get there, go to Settings → Account Settings and choose System in the Account group, or go straight to /settings/system/. Only administrators of the account can open it.
Terminology used to be called Module Control (or System Modules), and the Logging and Forms settings used to be on the General Settings page. Both old addresses now bring you here.
Terminology
Every business has its own words. A home builder may talk about Builders rather than leads; a service company may call its tasks Jobs. Terminology lets you pick the words your team already uses, so Open Leads reads naturally for everyone.
The list shows every section that can be renamed, grouped into Your records, Sorting and details and Messaging and automation. For each one you see:
- Section – its standard name and what it is used for.
- Called on this account – the name your account uses now, marked Default or Renamed.
- How it reads – a short example of the name on a page, such as “Add Lead · 24 leads”.
- Actions – Rename, and an arrow to go back to the default once a section has been renamed.
What you can rename
| Section | What it covers |
|---|---|
| Leads | The people and companies you track: the list, the detail page, filters and reports. |
| Opportunities | Deals tracked on a lead's pipeline. |
| History | The timeline of calls, emails and changes on each lead. |
| Tasks | Follow-ups and to-dos on the calendar and on each lead. |
| Statuses | Where a lead stands, such as New, Contacted or Won. |
| Types | Color-coded labels for sorting leads. |
| Sources | Where a lead came from. |
| Lead Status/Pipeline | The settings pages that hold your statuses and stages. |
| Fields | The information kept on each lead. |
| General Fields | The built-in contact details: name, email, phone and address. |
| Custom Fields | The extra fields you add yourself. |
| Messages | Saved emails in your library, used for sends, campaigns and automation. |
| Workflows | Automatic follow-up, step by step. |
| Forms | Web forms that bring in new leads. |
Rename a section
- Click Rename on the section's row.
- Pick one of the names offered. Each one shows how it reads for one and for many (for example “One tag, two tags”).
- Check the Preview at the bottom: it shows the name as a menu item, on an Add button and in a sentence.
- Click Save. A green message confirms the change and the row is marked Renamed.
A name that another section is already using is greyed out and marked Already used by…. In the example above, Types cannot be called Sources because the Sources section already uses that name. This keeps two sections from ever looking the same.
Where the new names show
A new name shows straight away, on every page of Open Leads, for everyone on the account: the top menu and settings menu, page titles and tabs, buttons such as Add Client, column headings, filters, pop-up windows, messages, guided tours, the mobile version, exports and Reporting. Counts read correctly too, such as “1 Client” and “25 Clients”.
Only the words change. How each section works stays exactly the same, and nothing about your data is changed.
A few things keep their standard wording on purpose:
- Merge tokens in messages, such as
[Lead First Name], so messages you have already written keep working. - Hosted forms and emails seen by your leads – your renamed terms are for your team, not for the people filling in your forms.
- Names you have given things yourself, such as a type called “Hot Lead” or a saved view.
Go back to a default name
- For one section, click the arrow next to Rename on its row, or open Rename and pick the option marked (default).
- For every section at once, click Reset all to default. You will see the list of changes and confirm before anything is reset. This button only appears when at least one section has been renamed.
- Use the Renamed filter above the list to see only the sections you have changed.
Logging
When someone logs a call, an SMS text or a visit on a lead, you can make a comment required, so every logged contact says what happened.
Each of the three has its own row:
- Require a comment – turn the switch on to require a comment, off to make it optional.
- Everyone – the comment is required for every user on the account.
- Chosen users – the comment is required only for the users you pick. Everyone else can leave it blank.
Changes save as soon as you make them; a green message confirms each one. The line under each name tells you how it is set now, for example “Required for everyone on this account” or the names of the chosen users.
Choose users
- Turn on Require a comment, then click Chosen users (or Choose users / Change under the name).
- Tick the users who must write a comment. Use the search box to find someone quickly, or Select all and Clear.
- Click Save.
At least one user must be ticked. To require the comment from everyone again, click Everyone.
Forms
The Use SSL (https) on hosted forms switch serves your hosted forms over a secure https address, so browsers do not warn the people filling them in. It saves as soon as you change it.
Only the account owner sees the Forms tab. If you are an administrator but not the owner, you will see Terminology and Logging only.
Questions
Can I type my own name for a section?
Not yet. Each section offers a set of names that have been checked to read correctly for one and for many (Client and Clients, Job and Jobs). If the name your business uses is not in the list, contact Open Leads support.
Does renaming change anything for other accounts?
No. Names are set per account. If you switch to another account, you see that account's names.
Who can change these settings?
Administrators of the account can change Terminology and Logging. Only the account owner can change the SSL setting on the Forms tab.
Where did General Settings go?
Its settings are here now: the required comments are on the Logging tab and SSL is on the Forms tab. Archiving duplicates and moving leads to the top of the list are on Lead Settings.
