Reporting Guide Filters
Step 4 of the builder, Only include, limits a report to the records you care about: one source, a few statuses, leads assigned to certain people, tasks of one type, and so on. There are two kinds of rule: filters, which decide which records are counted, and Only show rows where a number…, which hides rows after they are counted.

Step 4 of the builder, Only include, limits a report to the records you care about: one source, a few statuses, leads assigned to certain people, tasks of one type, and so on. There are two kinds of rule: filters, which decide which records are counted, and Only show rows where a number…, which hides rows after they are counted.
A status filter with two values, and a rule that only shows rows with at least one lead.
Add a filter
- Click Add a filter.
- Pick the field to filter on. You can filter on anything the report could be broken down by, even if you are not breaking it down by that field.
- Choose how to match: is, is not, contains or does not contain.
- Type in the box. Open Leads suggests values that exist in your data, most common first. Pick one, or type a value and press Enter. Add as many values as you like.
The report updates as soon as a filter changes. Click the × on a value to remove it, or the × at the end of the row to remove the whole filter.
How filters combine
- Values in one filter are “or”. Status is Hot, Warm counts leads that are Hot or Warm.
- Separate filters are “and”. Status is Hot plus Lead source is Website counts leads that are Hot and came from the website.
- is not and does not contain leave out every record that matches any of the values.
- contains matches part of the value, without caring about capitals: Lead source contains google matches “Google Ads” and “google organic”.
- For fields with several values per lead, such as Assigned user and Type, is matches a lead that has any of the values, and is not leaves out a lead that has any of them.
Only show rows where a number…
Click Only show rows where a number… to add a rule such as Leads > 20 or Win rate < 10. Choose the number, the comparison (>, ≥, <, ≤ or =) and the value. Rows that do not pass are hidden.
The difference from a filter matters. A filter changes what is counted; this rule only hides rows after the counting is done. Hiding a small source with Leads > 20 removes its row, but the totals still include its leads.
Percentages are entered as plain numbers: type 10 for 10%.
Filters in the library reports
Some library reports come with filters already set. The Lead follow-up reports only count open leads, Leads by form and the marketing reports only count form leads, and Overdue tasks only counts overdue tasks. You can change or remove any of these.
