Every report covers a period of time. Three controls under the report name decide which records fall in it: Date range, Dates by and Compare to. This article explains each one in detail.
A custom range (all of 2020) compared with the same period last year.
Date range
Ranges are worked out in your own time zone (the one on your profile), so “today” starts at your midnight, not the server’s. Weeks run Sunday to Saturday.
| Range | Exactly which days it covers |
|---|---|
| Today | From midnight today until now. |
| Yesterday | All of yesterday. |
| This week | Sunday of this week through Saturday. |
| Last week | The full Sunday-to-Saturday week before this one. |
| Last 7 days | Today and the 6 days before it. |
| Last 30 days | Today and the 29 days before it. This is the range a new report starts with. |
| Last 90 days | Today and the 89 days before it. |
| This month | The 1st of this month through the end of the month. |
| Last month | The whole of last calendar month. |
| This quarter / Last quarter | Calendar quarters: January–March, April–June, July–September, October–December. |
| This year / Last year | January 1 to December 31. |
| Last 12 months | This month so far plus the 11 full months before it, so a month-by-month report shows 12 columns. |
| All time | Everything, back to the first record. Comparisons are switched off with All time, because there is no earlier period. |
| Custom range | Pick a From and To date. Both days are included in full. |
Ranges such as This month and This year include days that have not happened yet, so a chart by day or month shows the rest of the period as empty. Tick Show rows of all zeros under Options if you want those empty days drawn.
Dates by
Dates by chooses which date a record must fall in. The choices depend on what the report is counting:
| Data source | Dates you can choose | What it means |
|---|---|---|
| Leads & pipeline | Date created, Date last modified | Date created counts leads that came in during the range. Date last modified counts leads that were last changed during it, whenever they were created. |
| Team activity | Activity date | When the email, call, text, visit, note or status change happened. |
| Tasks | Due date, Date created, Date completed | Due date (the default) counts tasks due in the range; Date completed counts work finished in it. |
| Speed to lead | Date created | Leads created in the range. With All time chosen, it looks at leads created in the last 12 months. |
| Pipeline movement | Date of change | When the status changed or the lead was added. |
| Forms | Date | The day of the form view or submission. |
| Email campaigns | Send date | When the campaign was scheduled to go out (or was created, if it was sent straight away). |
| Team usage | Date | The day of the sign-in or page view. |
| Pipeline over time | Snapshot date | The night the pipeline snapshot was taken. |
Compare to
Turn on a comparison to see how each number has changed. Every summary card and every table cell then shows the change as a percentage with an arrow, and what the number was.
- Previous period compares with the same length of time just before. For This month or Last month it compares with the calendar month before; for quarters, the quarter before; for years, the year before. For every other range (such as Last 30 days or a custom range) it compares with the same number of days immediately before.
- Same period last year compares with exactly the same dates one year earlier. Use it for seasonal businesses, where last month is not a fair comparison.
Rows are matched by their name: the “Website” row this period is compared with the “Website” row last period. When the breakdown is a date (Day, Week, Month and so on), each date is matched with the date in the same position in the earlier period, so January 2020 is compared with January 2019.
Green arrows mean the number went up and red arrows mean it went down. Whether that is good depends on the number: more leads is good, more overdue tasks is not.
A change shown as a percentage needs an earlier value to compare with. If the earlier value was zero, Open Leads shows the earlier value instead of a percentage.
