Finding leads on your phone: search, filters and views
Search for leads, switch between Mine, New and All, build filters, and pick, save, rename or delete views, the same as on the computer.

Searching
Type in the box at the top of Leads. It is the same search as on the computer: names, company, email, phone numbers, the address, your custom fields and the lead’s ID. Words match from their start, so joh finds John and Johnson. Phone numbers match however they were typed, so 555-123 finds (555) 123-4567. If you search notes on the computer, the phone searches them too.
Mine, New and All
With no view and no filters, the list has three tabs:
- Mine: the leads assigned to you.
- New: the ones assigned to you that you have not opened yet (they have a blue dot).
- All: every lead in the account. You only see this if your role lets you see everything.
The red number on the Leads button at the bottom counts your new leads, so you can see at a glance when something has come in.
Filters
Tap the filter button beside the search box. It shows how many filters the list has. The Filters sheet works the same as the computer’s:
- Each box is a set. A lead shows when it matches every condition in a set.
- Tap Add a condition, choose what to filter by (status, type, dates, who it is assigned to, custom fields, activity and more), then the condition and the value. Where you can pick from a list, tick more than one to match any of them.
- Tap Add another set to also show leads that match that set instead.
- The number at the bottom shows how many leads match as you go. Tap Apply filters.
The filters show as chips under the Views button. Tap a chip to change them, or tap Clear all twice to remove every filter.
Filters are saved to the view you are looking at. If it is a shared view, they are saved as a view of your own and the shared view stays as it is. With no view picked, they make an Unsaved view.
Views
Tap the Views button under the search box. It shows your account’s default view (or All leads when there isn’t one), then My views, each with how many filters it has. Tap one to open it. Search then looks inside that view.
- Save view: when the list says “Unsaved view”, tap Save view and give it a name. It keeps the filters, columns and sort you have now.
- Save as new view: makes a copy of the view you are on, with a new name.
- Rename or delete: tap the … beside one of your views.
Your phone and the computer show the same view. Pick a view or change the filters on one, and the other shows it too.
If your account has locked its list to one view, the phone shows that view for everyone except administrators, with a lock beside its name.
Tip: Tap the phone button on the right of a lead to call them straight from the list.
Apply to view
The same actions as Apply to view on the computer: add a note, change the status, assign, add types, archive, delete and the rest.
- Tap Apply to view above the list to act on every lead in the view you are on, or tap Select, tick the leads you want, then tap Apply to view. Select all picks every lead in the view.
- Pick an action (type in Find an action to narrow the list), fill in its choices and check the Preview, then tap Apply.
- Big ones run in the background and keep going if you close the sheet. Most actions can be undone for 24 hours with the Undo button shown when it is done.
Duplicates
Tap Duplicates above the list. The number on it counts leads that share an email address with another lead. The tabs Same email, Same phone and Same name and address list each set, and you can tap a lead to open it.
- Merge duplicates merges every set into one lead and archives the copies; Merge and delete deletes them. You see a preview first, and it can be undone for 24 hours.
- To tidy one set only, tap Merge these under it.
- Check again looks for duplicates again.
Possible spam
Tap Possible spam above the list to see recent leads that look like spam, with the reasons for each one. Choose how far back to look, and switch between All, Likely and Possible.
- Tick leads (or All shown), then tap Archive or Delete. These open the usual Apply to view sheet, with a preview and Undo.
- Not spam takes a lead off this list for good.
- Keep spam out shows which forms let the spam in. Tap Protect it to turn on the Honeypot or reCAPTCHA.
Archived leads
Tap the archive button beside Possible spam at the top of Leads (or tap Archive in Menu, just under Workflows) to see archived and deleted leads, newest first. Search it, or show only Archived or Deleted ones. Deleted leads stay here for 30 days, then are deleted permanently. Tap Restore to move a lead back to your active list.
