Dashboard Settings
Choose which dashboard sections and top tiles your account uses and who sees them, set the starting layout and chart defaults, control how much people can change, and post an account message.
On this page
Dashboard Settings is where account admins decide what everyone on the account sees on their dashboard: which sections and top tiles are used, who sees each one, the layout people start with, what the charts start on, how much each person can change, and the account message at the top of the page.
To get there, go to Settings and click Dashboard, or click Dashboard Settings on the right of the dashboard’s own toolbar. Only account admins can open it; everyone else is told their dashboard is set up by their administrators.
- At a glance. How many sections and top tiles are switched on, how many people on the account have a saved dashboard, and how many have arranged their own. Click a tile to jump to its tab.
- Tabs. Sections, Top tiles, Charts, Customizing and Account message. Each is covered below.
- Preview. A miniature of the dashboard a new person gets with the settings on the page, updated as you change things.
- Help. Takes a short guided tour of the page, or opens this article.
Nothing on the Sections, Top tiles, Charts or Customizing tabs takes effect until you save. As soon as you change something, a bar appears at the bottom of the page with Discard and Save changes. If you try to leave the page with unsaved changes, your browser asks you first.
Sections
The dashboard is built from sections: Breakdown 1 and 2, Leads over time (with Breakdown 3 beside it), Upcoming Tasks, the Leads list, Leads by Status Criteria, Pipeline Value, Time to First Touch and User Activity on Leads. The Sections tab lists every one of them, in the order a new person sees them.
- Drag handle. Drag a row up or down to change the order people start with.
- Who sees it. Everyone, Managers and admins (admins and people who can view all leads), or Admins only. People outside that group never see the section, and the dashboard won’t send them its numbers.
- Shown on new layouts. When ticked, the section is out on the page for someone new. When not, it starts tucked away under Arrange / Show Sections, where people can bring it out if they want it.
- Always shown. Nobody can hide this section. Its Hide Panel button disappears from the dashboard. Upcoming Tasks, Breakdown 1 and the Leads list are always shown unless you change them.
- On / off switch. Switches the section off for the whole account. A section that’s off never runs its numbers, so the dashboard loads faster for everyone.
- Hidden by… How many people have hidden this section on their own dashboard. It’s a quick way to spot sections your team doesn’t find useful.
- Unsaved changes bar. Click Save changes to put your changes live, or Discard to go back to what was saved.
In the example above, Pipeline Value is switched off (greyed out) and User Activity on Leads is set to Admins only. At least one section has to stay on.
The Preview, and seeing it as someone else
The Preview on the right shows what a new person’s dashboard looks like. Use the buttons at its top to see it as Everyone, Managers or Admins.
- Everyone / Managers / Admins. Whose dashboard to preview. Here it’s Admins, so User Activity on Leads appears even though everyone else won’t see it.
- Summary line. How many sections are out, and whether people can rearrange it.
- Top tiles, with the names you’ve given them.
- Sections in order. A padlock means Always shown; a dashed, faded row means it starts tucked away.
One thing the Preview can’t know: the User Activity on Leads table also needs the person to have the User Lead Data permission on Users. Without it they won’t see that section, whatever is chosen here.
Top tiles
The row of numbers across the top of the dashboard. There are five: Overdue Tasks, Tasks Due today, Unread Leads, Idle Leads and the new New Leads tile, which shows the leads added this month and how that compares with the same point last month.
- Drag handle. Change the order tiles appear in.
- Name. Give the tile your own name, up to 40 characters. Leave it blank to use the standard name. Here, New Leads has been renamed New this month.
- Who sees it. The same three choices as for sections.
- On / off switch. Turn a tile off and its number isn’t counted at all. The other tiles share the row evenly.
- Idle window. How far back the Idle Leads tile looks for new leads that nobody has touched yet (no task, sent email, call, text or visit): 14, 30, 60, 90, 180 or 365 days. It’s 90 unless you change it.
- The Preview picks up new names straight away.
Charts
The Charts tab sets what each chart starts on for someone new, and what it goes back to when anyone resets a layout. People can still change their own charts on the dashboard. This is also where you give any section its own title, which replaces names like “Breakdown 1” on everyone’s dashboard.
- Title. Your own name for the section, up to 40 characters. Leave it blank to use the standard one.
- Counts. What the chart counts: all leads, or leads by type, source, status, form source, email source or user.
- Chart. Area, bar or pie. Breakdown 1 also offers a funnel when it counts leads by status.
- Dates. Today, this week, this month, the last 12 months or all time.
| Section | What you can set |
|---|---|
| Breakdown 1 and Breakdown 2 | Title, what it counts, chart type and dates |
| Leads over time | Title, chart type and dates |
| Breakdown 3 (the donut beside Leads over time) | Title, what it counts and dates |
| Upcoming Tasks | Title, whether it starts as a list or a calendar, and which tasks it shows first (overdue, today, tomorrow, next 7 days or this month) |
| Leads by Status Criteria | Title and dates |
| User Activity on Leads | Title, dates, and whether it counts leads modified or created in that time |
| Time to First Touch | Title and how far back it looks (6, 12 or 24 months) |
| Pipeline Value | Title |
“Count by” choices
At the bottom of the Charts tab you choose which groupings the chart menus offer.
- A section that’s switched off on the Sections tab is marked Section off here.
- “Count by” choices. Untick any grouping your team doesn’t use, or one you’d rather people didn’t see.
- Here Leads by User is unticked, so nobody can chart counts per user. Plain lead counts are always available on Breakdown 1 and 2, and at least one grouping has to stay ticked.
Customizing
How much each person can change about their own dashboard, and what managers’ charts count.
- Let people arrange their own dashboard. When on, people can drag sections and tiles around and hide the ones they don’t want. When off, the Arrange / Show Sections button and the drag handles disappear, and everyone sees the layout from this page, in this order.
- Let people keep up to three layouts. When on, people can keep three saved layouts and switch between them from the Layout menu. When off, they have one dashboard, with a Reset dashboard button.
- What managers’ charts count. For admins and people who can view all leads: just the leads assigned to them (Their own), or every lead on the account (The whole account). Everyone else always sees their own. This covers the charts, the forecast, Pipeline Value, Time to First Touch and the list you get when you click a chart.
- Let managers switch between My and All. Adds a My Leads / All Leads switch to their dashboard toolbar, so each manager can choose for themselves.
- Keep User Activity to each person’s own figures. In User Activity on Leads, people only see their own row, and managers can’t switch their charts to the whole account. Reporting owners still see everyone. Unlike the rest of the page, this one saves the moment you flip it.
- Apply this arrangement to everyone. See below.
- Reset everyone’s dashboards. See below.
- Restore the standard settings. Puts everything on this page back to the OpenLeads standard: every section and tile on for everyone, in the standard order, with the standard titles and chart defaults. The account message and people’s own dashboards aren’t touched.
Apply to everyone
The settings on this page are what new people start with and what Reset this layout goes back to. Anyone who has already arranged their own dashboard keeps their arrangement until you apply the settings to everyone. Save your changes first; the buttons ask you to if you haven’t.
- Apply this arrangement to everyone gives every saved dashboard on the account the section order, tile order and shown or tucked-away sections from this page, in all of each person’s layouts. Their chart choices, date ranges and layout names stay as they are.
- Reset everyone’s dashboards goes further: arrangement, chart choices, date ranges and the My / All choice all go back to this page’s settings, in all of each person’s layouts. Layout names are kept. This can’t be undone.
- Either way, anyone with the dashboard open sees the change the next time it loads.
Account message
A note at the top of everyone’s dashboard, for announcements, targets or reminders. You can also edit it from the Edit button on the message itself on the dashboard.
- Message. What everyone sees.
- Colour. Notice (orange, the original look), Information (blue), Good news (green) or Urgent (red).
- Show until. Optional. The message shows until the end of that day, then disappears on its own. Admins still see it on their dashboard, marked as ended, so they know to change it.
- Preview. Exactly how it looks on the dashboard.
- Save message. The message saves on its own, separately from the other tabs.
- Clear message. Removes it from everyone’s dashboard straight away.
What people see on the dashboard
- My Leads / All Leads. Shown to admins and view-all users when Let managers switch between My and All is on.
- Dashboard Settings. Shown to account admins only, and opens this page.
- New Leads tile, with this month compared to the same point last month.
Sections and tiles that are off, or that someone isn’t allowed to see, simply aren’t on their dashboard. If you’ve locked the arrangement, the drag handles, Hide Panel buttons and Arrange / Show Sections are gone too.
Good to know
- Changes on this page reach everyone the next time their dashboard loads; nobody needs to sign out.
- Switching off sections you don’t use is the easiest way to make the dashboard load faster for the whole account.
- Section and tile names follow your own terminology from Settings → System, so if you call leads “Clients”, the page does too.
- The Using the dashboard and Customized numbers count people who have a saved dashboard. Someone who has never opened the dashboard isn’t counted yet.
